Site coordination meetings with action items and carry-forward
Overview
The Meeting Minutes app documents site coordination meetings with full minutes, attendee
tracking, and individual action items with status tracking. Meetings follow a
Draft → Finalized lifecycle — once finalized, the meeting is locked from edits
(except for action item status updates). The carry-forward feature lets you pull open action
items from the previous meeting into the next one, ensuring nothing is forgotten. Finalized
meetings can be exported as PDF for distribution.
Creating a Meeting
Navigate to Meeting Minutes and click New Meeting.
Enter the Title (e.g., "Weekly Progress Review #12", "Safety Committee Meeting").
Select the Type: Daily, Weekly, Monthly, or Special.
Set the Date, Time, and Location.
Add Attendees from the stakeholder register.
Enter External Attendees as comma-separated text for persons not in the register.
Write the Agenda and full Minutes of the meeting.
Add Action Items — each with a description, assigned person, due date, and status (Open, In Progress, Done).
Optionally set a Next Meeting Date.
Click Save. The meeting is saved in Draft status with a number like MOM-0001.
